Petroleum Joint Venture Association Board of Directors Call for Nominations

The Petroleum Joint Venture Association (PJVA) requests a Call for Nominations to fill the following Board positions: JV Administration Representative in-training, Task Forces and Sponsorship Directors. Each role has a minimum two-year commitment to the Board.


Task Forces Director

The Task Forces Director is responsible for coordinating and initiating the updating of the suite of PJVA Model Agreements on behalf of the Board.

Role and Responsibilities of Director

  • Ensure all PJVA Model Agreements are as current and consistent as possible
  • Be familiar with the various Agreements and act as the contact for PJVA members to provide feedback on and suggest changes to Model Agreements
  • Identify Agreements that require review and possible revision based on input received, changes in industry practice, new issues and changes in the regulatory or other environments and pursuant to PJVA policy
  • Identify any new Agreements that may be required within the industry
  • Ensure the Model Agreements are consistent, use uniform provisions and vary only when there are compelling reasons to do so
  • Initiate review of existing Agreements and ensure new Agreements conform to current PJVA standards to the extent possible
  • Contribute articles to the PJVA Joint Venture Views newsletter
  • Chair the Agreement Monitoring Committee where discussion and review of all above items are incurred

Key Initiatives

Specific initiatives identified include:

  • Continue to work towards completion of the 2020 Model Construction, Ownership & Operating agreement
  • Task Force completion of the 2020 Model Contract Operating Agreement and presentation to industry
  • Task Force update of the PJVA Model GHA/EHA Agreements in progress

Experience and Expectations

  • Must be a current PJVA Member
  • Minimum 5 years industry experience working directly with the full suite of PJVA Model Agreements
  • Ability to plan, manage projects, meet deadlines, work under pressure and be accountable
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board
  • Ability to motivate and manage a group of volunteers in order to meet deliverables within timelines

Marketing Director

The Marketing Director is responsible for establishing an annual marketing budget in coordination with Treasurer and various Directors on the Board in conjunction with a marketing plan to support the various educational and social directives of the PJVA.

Role and Responsibilities of Director

  • Jointly develop and implement PJVA marketing strategy with various PJVA Directors annually
  • Establish a marketing budget for the PJVA in coordination with the Treasurer Director
  • Ensure quality and consistency of PJVA marketing materials and announcements
  • Assist Education Portfolio with timely education articles and updates for inclusion Publicity Portfolio
  • Maintain and expand contact lists for all PJVA Marketing Contacts, newspapers, websites
  • Maintain a database of articles and marketing reports to Board
  • Determine and track performance metrics to assess effectiveness of marketing efforts and drive continuous improvement of marketing plan
  • Solicit feedback from Industry and membership to improve/enhance marketing strategy
  • Provide monthly updates to Board on Marketing budget and ongoing initiatives
  • Engage in speaking opportunities, when necessary

Key Initiatives

  • Continue to work towards strengthening of PJVA brand
  • Review and establish marketing framework for the Board
  • Establish an annual marketing plan and budget for Director Portfolios, as applicable
  • Identify opportunities for joint marketing with other industry associations
  • Identify new marketing avenues for PJVA

Experience and Expectations

  • Must be a current PJVA Member
  • Minimum 5 years industry experience
  • Attend monthly Board meetings and provide Marketing portfolio updates
  • Passion to support industry colleagues and promote the PJVA brand
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board
  • Work with professional marketers as required from time to time
  • Confident in public speaking for marketing engagement opportunities
  • Ability to negotiate and manage marketing contracts
  • Ability to interact professionally and with confidence regarding all aspects of PJVA and JV business to other associations and businesses
  • Ability to think ahead, meet deadlines, work under pressure, and be accountable
  • Ability to motivate and manage volunteers, if required

Social Director

The Social Events Director is responsible for proposing, coordinating, managing and hosting PJVA social events for our membership to promote PJVA values and establish strong relationships amongst membership.

Role and Responsibilities of Director

  • Establish and adhere to a Social Events Portfolio budget for the PJVA in coordination with the Treasurer
  • Jointly develop and implement a social events strategy with other PJVA directors to increase visibility in industry
  • Plan and execute all PJVA social events throughout the year
  • Monitor membership feedback to social events to ensure that the PJVA offers relevant and meaningful events
  • Coordinate marketing activities for the social events with the Marketing Director
  • Engage in speaking opportunities, when necessary

Key Initiatives

  • Continue to work towards strengthening of PJVA brand
  • Seek ways to Increase attendance rates at PJVA social events
  • Planning and execution of key PJVA events, including:
    • Christmas Social
    • Stampede Event
    • Golf Tournament
    • Volunteer Recognition Lunch
  • Research, planning and execution of new possible social events, including but not limited to:
    • Curling bonspiel
    • Bowling event
    • Scotch tasting
    • Roughnecks partnership
    • Other initiatives

Experience

  • Must be a current PJVA Member
  • Minimum 3 years industry experience or other relevant post-secondary education and/or technical certification
  • Confident in public speaking
  • Ability to think ahead, meet deadlines, work under pressure, and be accountable
  • Ability to motivate and manage volunteers
  • Ability to negotiate and manage social event contracts in a cost-effective manner
  • Ability to interact professionally and with confidence regarding all aspects of PJVA and JV business to other associations and businesses

Expectations

  • Attend monthly Board meetings and provide Social Events portfolio updates
  • Passion to support industry colleagues and promote the PJVA brand
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board

JV Administration Director

To represent and provide support to the Joint Venture Administration discipline within Industry through documented best practices, training, and development.

Role and Responsibilities of Director

  • Provide annual outline (goals) with projected timelines of project completion
  • Mentor a group of Administrators and/or Contract Analysts to assist with execution of portfolio goals
  • Jointly develop and implement marketing strategy with Marketing and Publicity Portfolio to increase visibility of JV Administration
  • Maintain a database for resources, contact lists for focus groups
  • Solicit feedback from Industry and use this feedback to improve education materials
  • Maintain and enhance the repository on the PJVA Website to house Administration information

Key Initiatives

  • Create and maintain a Training and Development manual
  • Explore addition and creation of FAQ page for Administrators on the PJVA website
  • Create /propose mini workshops/seminars for new or intermediate Administrators, Accountants, etc. based off of the JV Administration Course
  • Maintain / enhance materials currently available for best practices, templates, etc. on PJVA website
  • Contribute to articles for the JV Views newsletter, focusing on JV Administration

Experience and Expectations

  • Must be a current PJVA Member
  • Minimum 5 years industry experience, with 5+ years of JV Administration experience
  • Attend monthly Board meetings and provide Administration portfolio updates
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board
  • Ability to motivate and manage a group of volunteers

Membership/Volunteers Director

The Membership/Volunteers Director is responsible for managing membership and volunteer lists on behalf of the Board and developing plans and strategies to match volunteers to other Board members' requirements.

Role and Responsibilities of Director

  • Establish and adhere to a Membership/Volunteers Portfolio budget for the PJVA in coordination with the Treasurer
  • Jointly develop and implement a membership/volunteer strategy with other PJVA directors to increase visibility in industry
  • Ensure quality and consistency of PJVA Membership/Volunteers materials and announcements
  • Maintain and expand contact lists/database for all PJVA Membership/Volunteers contacts
  • Work with Directors to track performance metrics to assess effectiveness of volunteers' efforts and drive continuous improvement of volunteers' plan
  • Solicit feedback from industry and membership to improve and enhance PJVA strategies at a Board level
  • Provide monthly updates to Board on Membership/Volunteers ongoing initiatives
  • Engage in speaking opportunities, when necessary

Luncheons Director

The PJVA Luncheon Program exists to provide professional development presentations to enhance the knowledge and skills of our membership on projects and issues of interest to industry members. The events offer rich networking opportunities and foster inter-association collaboration as well as offering companies team building social opportunities. The intention is to enhance PJVA branding as a relevant and vital organization that addresses topics of wide interest within the Industry.

Role and Responsibilities of Director

  • Arrange for speakers at monthly Luncheons (except July, August and December) and the AGM in Sept.
  • Ensure quality and consistency in Luncheon event offerings and encourage membership to send topic and speaker suggestions to the Director and the PJVA office.
  • Keep files on industry speakers, summary, charity of choice and bio and provide copies to the PJVA office.
  • Jointly develop a marketing strategy with PJVA Marketing Portfolio and Sponsorship portfolio.
  • Draft, review and approve annual program budget.
  • Introduce and thank speakers or assign representative if not the Program Director.
  • Foster Joint events with other industry associations.
  • Consult the Board in regard to issues or questions that need approving that fall within the Luncheons Program.

Key Initiatives

The Luncheons portfolio will target between 5-7 luncheon events over the year featuring engaging speakers and education opportunities.

Experience and Expectations

  • Must be a current PJVA Member
  • Minimum 5 years industry experience
  • Attend monthly Board meetings and provide portfolio updates
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board

Treasurer

The PJVA Treasurer is an executive Board position responsible for monitoring and maintaining a balanced budget for the fiscal year on behalf of the PJVA.

Role and Responsibilities of Director

  • Communicate, manage, and approve monthly accounting
  • Approve cheques for payment
  • Ensure bank signing authorities are in place at bank
  • Selective review of accounting procedures and supporting documentation at the PJVA office
  • Review and oversee monthly financial statements
  • In coordination with Board of Directors, prepare yearly budget and monthly budget review
  • Arrange for yearly audit of PJVA books
  • Contribute and support the Nominations Committee activities throughout the year
  • As part of the executive team, ensure new directors are on-boarded and supported during their first year on the board or in a new portfolio
  • Assist other executive or Directors as needed
  • Contribute articles to the PJVA JV Views monthly newsletter

Key Initiatives

  • Reduce spending by association and Board of Directors in order to maintain a balanced budget
  • Identify ways to optimize savings to the Association as a not for profit organization
  • Review and ensure compliance to contract with Association administrator

Experience and Expectations

  • Must be a current PJVA Member
  • Minimum 5 years industry experience, financial expertise considered an asset
  • Attend monthly Board meetings and provide financial/budget updates
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board
  • Excellent communication skills and ability to manage various portfolio financials underbudget

Sponsorship Director

The Sponsorship Director is responsible for developing and implementing a strategy that builds industry relationships and generates sponsorship revenue for the PJVA. The Sponsorship Director will work closely with other PJVA Directors to conceive and promote sponsorship offerings that support the various educational and social directives of the PJVA.

Role and Responsibilities of Director

  • Establish specific and measurable annual Sponsorship goals in conjunction with PJVA Directors who manage portfolios with sponsorship potential
  • Establish a Sponsorship budget in coordination with the PJVA Treasurer
  • Review and refine the current suite of Sponsorship offerings
  • Manage a team of sales and marketing personnel to promote and update Sponsorship material specific to individual PJVA events and courses.
  • Maintain a Sponsorship contact database containing information of organizations interested in sponsoring PJVA activities
  • Track the effectiveness of marketing and promotion efforts used to find sponsors and secure Sponsorship revenue
  • Solicit feedback from industry and PJVA members to improve and enhance Sponsorship offerings
  • Provide monthly updates to the Board on Sponsorship sales and new offerings

Key Initiatives

Key Sponsorship initiatives for the 2020-21 year include:

  • Strengthen and promote the PJVA brand
  • Review the Sponsorship framework and strategy with the Board
  • Identify cross-promotional opportunities with other industry associations
  • Identify and obtain new sponsorship avenues for PJVA

Experience and Expectations

  • Be or become a PJVA member
  • Five or more years of petroleum industry experience
  • Attend monthly Board meetings and provide Sponsorship portfolio updates
  • Support industry colleagues and promote the PJVA brand
  • Willingness to dedicate 5 to 10 hours per month to this role and supporting the PJVA Board
  • Ability to direct and motivate Sponsorship volunteers and support staff
  • Confidence with pursuing sales opportunities
  • Ability to establish rapport and negotiate agreements with potential sponsors
  • Ability to interact professionally with industry businesses and associations when representing the PJVA
  • Ability to plan ahead, meet deadlines, and be decisive
